How does chip payment with NFCtron work at a festival?

What are the main benefits for organizers and vendors? What does it mean for visitors? We’ll walk through the entire process from the start of the event to settlement.

NFCtron enables payments via chip and card. Together with each organizer, we carefully consider the best payment method for the event to ensure the solution is functional and accessible. In this article, we’ll explore how a festival operates using chip payments with NFCtron.

NFCtron does not charge any service fees to visitors. We recommend that organizers set a fee for the first top-up if visitors do not top up online. Online top-ups before the event are free, and we assist organizers with communication to ensure that all visitors are informed.

How do visitors load money onto their chip, and where do they receive it?

Visitors have several options for loading money onto their chip. They can do so before the event online via the NFCtron mobile app or the web shopping cart. If NFCtron also handles ticket sales, we can send visitors an automatic notification prompting them to top up online. Especially in cases where the top-up is linked to an online ticket, this option significantly enhances the visitor experience and reduces the organizer's costs for on-site top-up stations. Currently, online top-ups are only possible before the wristband with the chip is activated.

At all events, designated NFCtron top-up stations are available where visitors can load money onto their chip using cash or a payment card. Visitors who do not wish to use the mobile app can request an information sheet with a QR code, which, when scanned, allows them to view all their transactions in a web browser.

Mobile App for Visitors

The NFCtron app is becoming increasingly popular among visitors. It allows users to purchase tickets, top up their credit before the event, track and rate orders, and easily request a refund for unused credit after the event. All of this can be done without creating an account. If a visitor chooses to create an account, NFCtron does not use their data for any other purpose and only utilizes it to communicate essential information related to the event. The app is available for both Android and iOS.

The fastest payment and easy operation for staff

At events, there are always peak times – moments when everyone rushes to vendors to buy food or drinks. In such situations, every second counts. Chip payments do not require an internet connection, and order synchronization happens independently of their creation. This allows staff to serve significantly more customers during peak times. Additionally, you can monitor the entire process in an online dashboard and adjust staffing at specific locations as needed, optimizing your costs.

Statistics for organizers and vendors

Before the event, we work with organizers and vendors to set the terms of cooperation. Vendors then create their product assortment in the NFCtron Hub system. At the event, they collect their devices from our support team at a designated location and return them after the event. The assortment can be adjusted even during the event, with control accessible to both vendors and organizers. Organizers and vendors can track sales in real time, filter by products, and respond to visitor feedback.

Useful data exports are also available. You can monitor visitor movement, evaluate the performance of individual sales points, and compare them with factors such as weather or the current band performance.

Turn your visitors into fans after the event

After the event, visitors have 14 days to submit a request for credit refunds. Any remaining balances are transferred in full to the organizers' account. For latecomers, a deposit is held until the end of the accounting period. After the event, we recommend taking advantage of increased visitor activity to announce ticket sales for upcoming events or gather feedback. This allows you to maximize the use of the data collected through NFCtron.

Settlement after the event

After the event and the return of devices from vendors, our support team checks everything and prepares the documents for distributing payments to vendors and the overall settlement of the event. On average, the settlement is processed within the first week after the event. Before the funds are distributed, we wait for approval from the organizer or confirmation of account details from the vendors.

Additional Benefits of Chip Payments

Chip payments at events bring many additional benefits. Beyond linking transactions to customers, you can, for example, use special chips for staff or guests and keep them data-separated through accreditations.

For VIP guests, you can load special credit without generating receipts, and special settlement terms can be arranged with vendors. Larger festivals, in particular, benefit from the ability to create zones and subsequently control access to different parts of the venue or divide entry by days. Throughout the event, a dedicated event specialist is available to assist you, and we support organizers with marketing communication and optimizing their business model with vendors.
